Businesses are getting back into the trade show circuit after years of setbacks and virtual events. While virtual trade shows proved to be a useful option, it’s great to consider hybrid options going forward.

The tradeshow industry is making a comeback after the pandemic. Over the last couple of years, businesses adapted to virtual meetings including trade shows, which was the safer option over in-person events. Packing thousands of people into the same space was simply too difficult to manage and deemed unsafe. Now that the world has established safe practices and things are recovering, the trade show circuit is steadily returning. As we get back to new norms in the trade show industry, here are a few things to be aware of as you plan.

Prioritize Health

We’re all excited to get back to the live trade show activities. However, health and safety are primary concerns for any business. Staff and employees should be prepared for frequent cleaning at the booth, with possible limitations for touching tables and surfaces. Spacing may be needed if trade shows are done in large indoor areas with crowds. Lastly, encourage attendees to use safe practices at all times to make sure everybody remains healthy with signs and graphics.

Date Planning

Now is the time to get the jump on your timeline planning early so you can be prepared for any changes. Communicate with your supply chain, get your logistics in order, and build your structure in place. As you market your exhibit, get the early start on your custom booth, banner, table cover, and anything else that will help you stand out. Once you have your marketing in order, you can promote your presence and let others know where exactly you’ll be and what you have to share at the trade show.

Prepare for Hybrid Shows

A silver lining of the pandemic is how businesses adapted to remote work and events. Now that we are settling back into a more comfortable state, we have some options at our disposal. Hybrid events are now a popular method for the trade show circuit. As you plan for your next trade show, be prepared to accommodate viewers who tune in virtually. You can optimize your setup for live viewers, but also have a camera ready for Zoom sessions.

Double Down on the Community

What’s important here is to provide value for your remote attendees. For example, a giveaway would be a great idea, but make sure it’s something you can send digitally or by shipping. Digital handouts and guides are also fantastic tools to make sure remote attendees are following along. Finally, a hybrid trade show structure means that you have to keep live and remote attendees engaged. Have a Q and A session available to both sides, where they can openly ask questions after the initial presentation.

Keep the Focus on Networking

Lots of businesses will be eager to return to in-person trade shows. While we get back to in-person collaboration and engagement, maintain your focus on networking. Make arrangements for your inventory and have physical business cards, but also have digital flyers and pamphlets for those meeting businesses virtually. Provide separate meeting areas for both parties. The key with networking is to be accommodating with a hybrid structure. Have a central meeting place for discussions and engagement after your show where you can build genuine connections.

Keep an Eye on Hard Caps

Adjustments constantly will be made as we return to the trade show circuit. One key factor is paying attention to hard caps on attendance. It’s not uncommon to see large public areas installing capacity limits to ensure safety. Not to mention, variants and fluctuations of COVID-19 cases frequently change restrictions with public events. It’s great to plan early as we adjust back to trade shows. However, be prepared to effectively adjust your inventory according to the capacity limits so you don’t overstock.
